Service & Parts Receptionist
Join our team as a key front-line representative, supporting both our service department and parts operations. This role is ideal for someone who enjoys customer interaction, thrives in a busy environment, and brings strong organisational and technical aptitude.
About the Role
As a Service & Parts Receptionist, you will be the first point of contact for customers visiting or calling our service and parts department. You will support the full customer journey — from initial inquiry and workshop booking to parts assistance and job card preparation. Your ability to provide exceptional service, maintain accurate records, and communicate effectively with customers, technicians, and drivers will be essential to the success of our team
Key Tasks
Greet and assist counter customers in all areas of service and sale of parts and maintain a high level of customer satisfaction
Take workshop bookings and contact customers in order to confirm work, warranty recalls, follow up calls etc. Prepare job cards for each booking.
Assist customers and workshop technicians in the selection and ordering of parts. Place orders on the system where required and take deposits.
Allocate and place relevant parts in Workshop and Customer Parts bins and inform each customer accordingly
Chase Parts back orders to meet customer expectations and workshop requirements
Liaise with customers and drivers to ensure that collections and deliveries are organised in an effective manner
Ensure drivers are given full details of jobs they are collecting so they deal with any questions from customers when collecting or delivering machines;
Handle the daily updating of jobs to ensure that invoicing is processed and finalised as soon as a job is completed
Process and monitor warranty claims, ensuring that we obtain maximum credit from manufacturer and that it is received in a timely manner
Main Attributes
Because of the high levels of customer interaction, a combination of good technical skills and diplomacy is required.
Experience in a parts focused role preferred but not mandatory.
Experience of working in a service team is preferred but not mandatory.
